5K a year Provides complete and professional, administrative and secretarial support to the Chief Nursing Officer and Nursing Administration Office.
The incumbent must possess self-motivation, enthusiasm, and a positive demeanor toward the job, the company and their work team
Essential Functions:
Answers and directs telephone calls to the appropriate person/area, records messages in a professional, courteous, and diplomatic manner.
Schedules appointments and makes arrangements for meetings, conferences and travel; maintains daily calendar.
Types letters, memos, correspondence, and forms to facilitate work flow; maintains office filing system.
Types various policies and procedures.
Assembles and updates hard copy of Nursing Administration Policy Manuals.
Processes daily incoming and outgoing mail.
Records and transcribes minutes of various meetings.
Tracks, logs, and maintains files of all Nursing Administration contracts for record keeping and renewal processes.
Attends all NEC, PCSC, and special meetings as requested by the CNO; sometimes on short notice.
Records and transcribes meeting minutes in the appropriate format.
Prepares and posts meeting agendas, sends copies of minutes, and gives notice of meetings to the various meeting attendees.
Compiles, reproduces and distributes meeting packets in a timely fashion.
Performs other work related duties as assigned.
OTHER
Responsibilities:
Provides administrative/clerical services to associated departments.
Schedules meetings in various rooms Hospital-wide.
Orders office supplies, etc.
Other duties as assigned from time to time.
SUPERVISORY
Responsibilities:
None KNOWLEDGE, SKILLS, ABILITIES, AND
Experience:
Associates Degree in Business preferred, or the equivalent work experience, training, and education in secretarial and administrative office skills.
Experience performing executive assistant level support activities; preferably in the healthcare industry preferred.
Demonstrable proficiency in all Microsoft Office applications; e.
g.
Microsoft Word, Microsoft Outlook, and Microsoft Excel.
Knowledge of proper filing procedures.
Ability to effectively communicate and express ideas, both orally and in writing.
Skill and ability to operate a variety of office machines including personal computers, multi-extension phones, telephones, fax machines, copiers, etc.
Ability to work independently with minimal supervision.
Skill and ability to organize work and meet deadlines.
Excellent interpersonal skills.
Ability to work well with others, and work to satisfy all internal and external customers.
Business attire required.
The ability to interface with varying personal styles in an effective way.
Good judgment, tact and diplomacy with internal and external customers and LICENSES AND CERTIFICATIONS REQUIRED:
No specific licenses required.
Estimated Salary: $20 to $28 per hour based on qualifications.
