Responsibilities:
Billing for Alfalfa Hay & Pellets, Desert Express cooling services and Oasis Organics Produce Sales Coordinate Alfalfa logistics and orders for direct customers and custom pelletized products including logistics to and from the Mill.
Accounts Receivable duties including but not limited to, sending statements, invoices, collecting and posting payments Process sales orders for Oasis Organics Draft Sales Contracts for forage sales Assist Accounts Payable in entering invoices Seek and Apply for grants, programs, incentives Maintain insurance coverage for all entities including but not limited to processing claims.
Maintain equipment list, service requirement logs and equipment maintenance reports.
Assist in management of equipment administration including but not limited lease timing, maintenance protocols and online parts purchases.
Answer all incoming calls congenial attitude Prepare and distribute DMV registrations and insurance cards.
Assist in vehicle service and maintenance scheduling.
File Office Documents Open, read, route and distribute incoming mail and other material Notify management of incoming parcels or mail Maintain purchase order log and distribute purchase orders to employees seeking them.
Backstop unapproved purchases.
Order Office Supplies Clerical duties such as making copies, faxing, filing or emailing documents Administer company phones and computers Assist packing shed supplies sourcing Coordinate USDA inspection scheduling Administer food safety and organic compliance.
Coordinate inspections and audits, compile reports and required documentation, respond to any compliance correspondence, manage organic OSP Provide direct assistance to Controller with estate matters and other business including outside equipment rentals and sale, Assist management with Desert Express customer onboarding, compliance matters and special projects administration.
Assist management with operation of communication electronics and security systems Assist with another administrative duties including but not limited:
Worker's Compensation matters, pest management, employee housing matters Coordinate and schedule meetings, appointments, and travel arrangements Maintain and update files, records, and databases Provide administrative support to team members as needed Manage front desk activities, including greeting visitors and directing them to the appropriate person or department Skills - Strong organizational and time management skills - Excellent communication and interpersonal skills - Proficient in Microsoft Office Suite (Word, Excel, Outlook) - Knowledge of medical office management practices is a plus - Ability to manage multiple tasks and prioritize effectively - Attention to detail and accuracy in work - Ability to work independently as well as part of a team - Professional phone etiquette -Some experience with billing clerical is preferred Company
